Refund & Cancellation Policy
Fluent Architectural Design Services Ltd
This Refund & Cancellation Policy forms part of the Terms & Conditions of Engagement with Fluent Architectural Design Services Ltd (“Fluent ADS”, “we”, “us”, “our”).
By instructing us and making payment, you confirm acceptance of this policy.
Our services are professional, bespoke, and time-based. Once work has commenced, value is created immediately and fees are earned accordingly.
1. General Refund Position
All fees paid to Fluent Architectural Design Services Ltd are non-refundable, except:

Where a refund is required by law, or
-
Where we expressly agree a refund in writing.
This applies to all services, including (but not limited to):

Design and consultancy
-
Planning services
-
Building Regulations drawings
-
Structural calculations
-
Surveys and site visits
-
Consultations and pre-construction support
2. Cancellation for Change of Mind (Client Convenience)
If you cancel services for any reason unrelated to a failure on our part, including a change of mind:

No refund will be issued for work already undertaken
-
No refund will be issued for surveys, consultations, design time, professional advice, or administration
-
We reserve the right to retain fees proportionate to work completed up to the date of cancellation
Any refund offered in these circumstances:

Is entirely at our discretion

Is calculated on a pro-rata basis for work not yet undertaken
-
Will be subject to deduction for reasonable professional and administrative costs
3. All-Inclusive Design & Pre-Construction Service
Due to the bundled and discounted nature of our All-Inclusive Service:

No full refunds will be issued once instruction has been received
-
Once any element of the service has commenced, the package is deemed live
-
Fees relating to completed or active stages are non-refundable
Where a refund is exceptionally agreed:

Services will be re-costed as if purchased individually
-
The package discount will be removed from any refunded balance
-
Surveys, consultations, design work, and professional time already completed will be excluded
4. Modular (Pay-As-You-Go) Services
Where services are instructed and paid for in individual stages:

Each stage becomes non-refundable once commenced
-
Completion of one stage does not obligate you to proceed to further stages

Fees paid for completed or active stages are not transferable to other services
If a stage has not yet commenced and cancellation is requested:

Any refund will be considered at our discretion only

Reasonable administrative costs may be deducted
5. Additional & Optional Services
Additional services may include:

Virtual Reality (VR) walkthroughs
-
Interior Design services
-
Additional surveys
-
Enhanced pre-construction or contractor coordination
These services:
-
Are quoted separately
-
Become non-refundable once commenced
-
Are subject to programme and availability constraints
6. Third-Party & Authority Fees
No refunds will be issued for:

Local Authority fees
-
Planning Portal fees
-
Third-party consultant or specialist fees
-
Any costs paid on your behalf
These fees are outside our control and are non-refundable in all circumstances.
7. Refund Processing
Where a refund has been expressly agreed in writing:

Refunds will be processed within 14 days
-
Refunds will be made using the original payment method where possible
-
We are not responsible for delays caused by banks or payment processors
8. Our Right to Terminate Services
We reserve the right to suspend or terminate services immediately where:
-
Payments are overdue
-
Instructions are unclear, contradictory, or unlawful
-
The working relationship has irretrievably broken down
In such circumstances, fees already paid remain non-refundable.
9. No Waiver
Any discretionary refund offered:

Does not constitute a waiver of this policy

Does not set a precedent for future matters
